Privacy policy

Information we collect

We process account identity, including your name, email address and profile photo; recruiting records such as contact details, résumés, applications, notes and client feedback; and communications and files supplied by users or connected services. We also process session, activity, error and security records needed to operate the workspace.

Google account connections

Signing in identifies your account. Connecting Gmail, Calendar or Drive is a separate authorization. When you connect Gmail, Ladder can access messages, threads, headers and mailbox history to display conversations, synchronize changes, create and update drafts, send reviewed messages and reconcile send results.

Calendar access supports listing available calendars, checking availability, and creating or updating recruiting events, including interview times, attendees and descriptions. Where configured and enabled, optional Drive access lets you select files for import into Ladder. Drive connection and selection are unavailable until the workspace’s Google setup is complete. Ladder does not create files in Google Drive. Access is limited by the permissions you grant and the capabilities of the connected account.

How information is used

We use information to operate recruiting workflows, maintain records, coordinate interviews, provide communications and document tools, secure the service and diagnose failures. Relevant information may be processed by AI features to prepare summaries, research, drafts, extracted facts and candidate-fit suggestions. These outputs can be inaccurate and require human review.

Storage, service providers and sharing

Ladder stores account connections, recruiting records, imported content and workflow history on server infrastructure. Google Cloud and Firebase provide hosting, storage and authentication services. AI features may send relevant content to model providers, including Anthropic’s Claude and Google’s Gemini through Vertex AI. When AI quality review is enabled, relevant trace evidence may also be processed by OpenAI. Prompts, responses and operational traces may be retained for troubleshooting and quality review.

Information is available to workspace members and collaborators according to their access permissions. Publishing or sending content can make it available to the selected client, candidate or other recipient. Service providers process information to deliver the service. We may also disclose information where required by law or to address fraud, abuse or security incidents. We do not sell personal information or use Google user data for advertising.

Google API data

Ladder’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements. Google user data is used to provide the connected features, not to train generalized AI or machine-learning models.

Retention, disconnection and deletion

Information is retained while needed for recruiting workflows, account operation, security and applicable recordkeeping obligations. Retention depends on the record and workspace policy; disconnecting an integration does not automatically erase records already imported into Ladder or messages and events already sent to Google.

You can disconnect supported integrations in Ladder settings and revoke Ladder’s access through your Google Account connections. To request access, correction or deletion of information held in Ladder, contact hello@forecareer.com and identify the relevant account or record. We may verify your identity and retain information required for legal, security or recordkeeping purposes. Deleting a Ladder record does not remove copies already received by other parties.

Device storage and security

Ladder uses session cookies for authentication and browser storage for preferences and workflow state. We use access controls and secure transport to protect information. No system can guarantee absolute security; do not share account credentials or private access links.
